Administrative Assistant to the Chief Circuit Judge

ESSENTIAL DUTIES: The 7th Judicial Circuit Court is accepting applications for the position of Administrative Assistant to the Chief Circuit Judge. This position requires a confidential relationship with the Chief Judge and the Trial Court Administrator, performs a variety of duties, and is highly responsible for the day-to-day operations of the circuit. The successful candidate must possess the ability to work independently, organize work effectively, and meet required deadlines and schedules; associate with employees and the public in a pleasant, courteous, and helpful manner; communicate in a clear, professional, and friendly voice via the telephone; maintain confidentiality; work effectively under stress; and maintain regular attendance and punctuality. Discretion with sensitive issues and the ability to maintain confidentiality is essential.


  • Coordinates office support activities and performs administrative assistant duties to judges and staff.
  • Processing travel vouchers and making travel arrangements.
  • Coordinates with Trial Court Administrator assisting with projects throughout the circuit.
  • Operates personal computer (i.e., word processing, spread sheet or data base application) to draft correspondence involving matters of policy, meeting minutes, reports, tabulations, and other materials.
  • Opens, dates, and sorts incoming mail; prepares appropriate correspondence.
  • Maintains records, reports, and files including financial, personnel, and inventory.
  • Schedules meetings and assists in preparation of seminars and conferences.
  • Contacts public or private organizations to obtain information requested by supervisor; screens incoming calls and visitors.
  • Updating the Court’s internal and external websites.
  • Performing other duties as assigned.

EXPERIENCE, EDUCATION, AND TRAINING REQUIREMENTS: Two years of experience in skilled secretarial work, preferably in a legal or judicial setting or an equivalent combination of education and experience required; four years of experience in a judicial setting preferred.

PHYSICAL REQUIREMENTS: This position requires the ability to sit for extended periods of time. This is a normal office environment requiring telephone usage and the ability to process written documents. Applicant must have the ability to travel occasionally. Applicant must possess a valid driver’s license and demonstrate proof of automobile insurance to operate a personal vehicle on state business, as well as maintain a safe driving record.
