ESSENTIAL DUTIES: The Administrative Assistant 3 position performs a variety of secretarial and office management duties for the Probation Services Division. Initiative and independent judgment are exercised within a broad framework of existing policies. Work is evaluated by the immediate supervisor through conferences, personal observations, and review of completed projects.

FUNCTIONS INCLUDE:

  • Performs sensitive/confidential secretarial functions for supervisor and/or other professional staff.
  • Operates personal computer (i.e. word processing, spreadsheet, or database applications) to type correspondence involving matters of policy, meeting minutes, reports, tabulations, and other materials.
  • Organizes and maintains office records and paper/electronic filing systems.
  • Assists with making travel arrangements, ordering supplies, and processing purchase requisitions and invoice/travel vouchers.
  • Schedules and coordinates materials, space and catering needs for meetings for designated staff.
  • May conduct special projects and studies by gathering data, coordinating, monitoring, and completing assigned projects and other duties as assigned.

EDUCATION AND EXPERIENCE: A minimum of three years of office experience is required. An Associate's degree in secretarial science or a related area is preferred. Knowledge and understanding of Illinois judicial branch structure and functions is desirable, but not required.

PHYSICAL REQUIREMENTS: Ability to sit for extended time periods. Ability to retrieve files. This is a professional office working environment requiring telephone usage and ability to process written documents.
