The Office of Statewide Pretrial Services’ (OSPS or Office) mission is to assist in the administration of justice and promote community safety by ensuring fairness and equality in the pretrial process. The OSPS is a statewide office that provides pretrial services under the Pretrial Services Act, 725 ILCS 185. The Office develops pretrial standards and employs pretrial service officers who conduct pretrial investigations and provide pretrial supervision.

ESSENTIAL DUTIES: Under the general supervision of the Administrative Support Supervisor, Pretrial Program Assistants provide office and administrative support to Office of Statewide Pretrial Services staff within the Division of Pretrial Operations.

FUNCTIONS INCLUDE:

  • Provides administrative support to the Pretrial Services Officers, District Supervisors and Regional Chiefs.
  • Prepares and delivers written court reminders for pretrial clients.
  • Communicates with circuit clerks and jail personnel to identify newly arrested defendants within the assigned region.
  • Performs data entry and collection on newly arrested defendants.
  • Performs basic office functions, including but not limited to managing Region Chiefs’ calendars, ordering and processing purchase requisitions for vendors and suppliers, scheduling and attending staff meetings and taking meeting minutes, responding to emails and answering calls, relaying internal emails to staff, greeting visitors, and distributing mail.
  • Oversees and tracks time sheets and absence requests for region staff.
  • Prepares communications, such as letters, emails, memos, reports, and other correspondence.
  • Prepares programmatic materials at the direction of the Deputy Director of Pretrial Operations.
  • Makes travel arrangements and prepares travel vouchers.
  • Performs other duties as assigned.

EDUCATION AND EXPERIENCE:

Required Qualifications:

  1.  Associate’s Degree or two years of relevant professional experience.
  2.  One year (in addition to education requirements) of progressively responsible clerical or programmatic experience in an office setting involving typing, filing, answering phones, and computer work.
  3. Excellent communication and interpersonal skills.
  4. Excellent organizational skills.
  5.  Knowledge of general office practices and procedures.
  6.  Ability to work independently and as part of a team.
  7.  Proficiency in Microsoft Word and Excel.

Preferred Qualifications:

  1.  A Bachelor’s Degree in Public Administration, Business Administration, Communications, or a related field.
  2.  3 years of experience providing administrative support to a public or private organization.
  3.  1 year of experience working within community corrections or the criminal justice system.

PHYSICAL REQUIREMENTS:

  1. 1. Ability to sit for extended time periods.
  2. 2. Ability to travel, mostly within Illinois, including overnight stays, as required.
  3. Requires a valid and current driver’s license.
